Overview
Prospective bidders can download two templates: the bid proposal items spreadsheet (Excel) and the latest master bid book (Word). Each bidder must fill in both files with the details that apply to the project being bid.
How to Get the Files
- Open the Engineering Division's shared CIP file folder, where the current approved versions of both templates are stored.
- Select the file or files you need and choose "Download" at the top of the page.
Completing the Bid Proposal Spreadsheet
From the shared CIP folder, download the workbook named "Bid Proposal Items Example Form.xls."
Inside the workbook you will find three tabs, labeled "Proposal Summary," "Bid Items" and "Recap Bid Proposal." A bid counts as complete and eligible only when all three are filled out.
- Bid Items: lists every proposed bid item for the project. Type only in the "Unit Price" column; each unit price you enter carries over automatically to the "Extended Price" column.
- Recap Bid Proposal: this sheet (for example, "Sagebrook Road Bid Proposal – RECAP") fills itself in using the Extended Price amounts from the Bid Items tab. Nothing can be typed on this sheet.
- Proposal Summary – Bid Proposal: enter amounts for the total bid, Sections I through IX, broken out as A. materials incorporated into the work, B. materials not incorporated into the work, and C. other labor and related costs.
In the not-to-exceed line for Section I (the sum of A, B and C), spell out the total bid amount in words.
Current Bid Information
For projects now out for bid, the bid notices page lists bid advertisements, plan holder lists, addenda, bid tabulations and bid results.
Completing the Master Bid Book
- From the shared CIP folder, download the Word file titled "Master Bid Book [revision date].docx."
- Open it and complete your bid document by following the Bid Book Instruction Sheet on page 1.
